Returning Cards and Passes to RST
Returning Cards and Passes electronically
The cheapest way to return cards and passes is to cut each one into four pieces, making sure the card serial number and the person’s name are still visible. Take a photo of the pieces and attach the images to the relevant form:
If You Cannot Attach Images
If you cannot upload images, return the cards and passes uncut by post using Signed For or Special Delivery Guaranteed (previously called recorded or registered delivery). This ensures extra protection for your valuable staff travel documents when returning them for cancellation or replacement.

Replacement fees apply to cards and passes issued by Rail Staff Travel.
Note: This does not include cards and passes issued by TfL (such as Oyster Status Passes).

Definition of “Year” for Staff Travel Products
The definition of a year depends on the product issued:
- Staff Travel Card: 1 April to 31 March
- Rail Staff Leisure Card: 1 November to 31 October
- RST Online Leisure Card: 1 December to 30 November
Oyster Status Pass Loss
If you lose an Oyster Status Pass, TfL charges £12.50 per card, in addition to any replacement fees for RST-issued products.
For the loss of an Oyster Status Pass, the TfL fee of £12.50 applies to each card lost in addition to the charges above for any RST issued products.

Booking Fee for International travel through International Rail
Booking Fees and Travel Options
The current booking fee is £10 per booking, which is heavily subsidised by Rail Staff Travel (RST).
You are free to use any travel agency that suits your needs and preferences. However, International Rail offers one of the widest ranges of international travel options.
Important Notes About FIP Travel
- FIP travel is non-contractual and based on a reciprocal arrangement between European rail operators.
- RST is not obliged to provide a booking service or pay any fees related to this service on behalf of staff.
Obtaining a Full Birth Certificate or Marriage Certificate
Getting Certificates and Sending Copies
Rail Staff Travel (RST) asks for a full birth certificate or marriage certificate. You can get these from the authority that registers births and marriages:
- England and Wales: HM Government website
- Scotland: National Records Scotland website
- Other countries have their own processes.
Please send a copy, not the original. RST is not responsible for any loss, damage, or consequences if original documents are sent.

Child Dependant Gross Weekly Income Limit
Gross Weekly Income Limit
From 1 April 2025, the gross weekly income limit is £187.50.
Gross income means your total earnings before tax, National Insurance, or any other deductions.
This limit is reviewed and updated every year on 1 April.
